The Owner's Scorecard
Your billing software can produce forty reports and answer none of the questions you actually have. The scorecard is one page that tells you whether the club is growing, what it's leaking, and the three things to do about it this month.
What's on it
| Metric | Why it's on the page |
|---|---|
| Net member growth | Joins minus cancels minus terminations. The only headline number, and the one most clubs quote wrong because they count joins and forget the back door. |
| Churn by tenure cohort | The single most useful cut in the fitness business. Members in their first 90 days typically leave at a multiple of everyone else. If your churn problem lives there, nothing you do for your two-year members will fix it. |
| Visit frequency distribution | Usage predicts cancellation better than anything a member ever says. A member who has not checked in for three weeks is not a churn statistic yet — they're a save you can still make. |
| EFT trend | Recurring dues month over month, separated from one-time revenue, so a good PT month doesn't disguise a shrinking base. |
| Revenue per member | Where discounting shows up. Growing headcount with falling RPM means you're working harder for the same money. |
| Draft success rate | What percentage of billed dues actually collected. The leak, quantified. |
| Close rate by staff member | Tours to joins, by person. Uncomfortable, and the fastest lever most owners have. |
| Three actions | Not a data dump. The specific things this month's numbers say to do, in priority order. |
The two numbers most clubs are missing: churn split by tenure cohort, and visit frequency. Almost every gym tracks a single blended churn percentage, which averages a first-90-day exodus together with a stable long-tenure base and hides both. And almost none of them connect check-in data to cancellation risk, even though it's the earliest warning signal they own.
How it works
- You send an export. Member list and billing history out of whatever you run — ABC, Club OS, Glofox, Zen Planner, Mindbody, PushPress. If check-in data comes out too, send it; that's where the retention signal lives.
- We build the page. Two business days. Every number labeled with how it was calculated, so you can argue with it — a scorecard you can't audit is just a horoscope.
- You get the read, not just the chart. A short written interpretation of what the numbers are saying and the three moves that follow from them.
- Monthly, if you want it. The same page each month with trend lines and a running action list, so you can see whether last month's fix worked.
A full scorecard and written read on your current numbers. Good way to find out whether you like the thing before committing to anything.

Monthly scorecardMost owners pair this with draft recovery — the scorecard tells you the draft success rate, recovery is what moves it.
